My accountant sends me WhatsApp messages. Screenshots of task lists. Update these invoices. Check these VAT numbers. Reconcile these payments. The normal response is to log into each system, click around, copy data between tabs, and reply. Then do it all again next month.
That is not what I do anymore.
The screenshot
It was a list of financial tasks spanning systems I had no direct access to. Odoo for one company's invoicing, Stripe for another's payments, tax numbers that needed cross-checking. The kind of list that means an afternoon of admin.
I forwarded it to my colleague. "Handle this." The reply was not "okay, working on it." It was "I do not have command-line access to Odoo yet. Want me to build one?"
Building tools, not doing tasks
This is the distinction that changed how I operate. Most people use AI to do a task. Read this, write that, fill this in. The work gets done, and next month you ask again. It is rented labour.
I had it build the tools instead. An Odoo tool to query invoices and payment status. A Stripe integration for the other company. A comparison tool that pulls VAT totals from both systems and flags any mismatch. One screenshot, thirty minutes, three tools that did not exist that morning. None of them are throwaway scripts. They are permanent, and every future task uses them.
The compounding part
Here is what most people miss. The first screenshot took thirty minutes, because we were building. The second time it took five, because the tools were already there. The third time, faster still.
Task-based AI is linear. Every job costs the same effort. Tool-building AI compounds. Each tool makes the next job cheaper. Six months in, I have tools for invoicing, payments, ad reporting, search console, and a market briefing that runs itself every morning. Not one of them was planned. Each started the same way: a concrete need, and the choice to build the tool instead of doing the chore.
What changed
My accountant still sends screenshots. That part has not changed. What changed is that I am no longer the integration layer between him and five different systems. I forward the message, the tools are already there, the work happens, I check the result. The AI did not make me faster at admin. It made admin mostly stop needing me. And it started with a screenshot.
